Practice Policies
Thank you for considering my practice for therapy or coaching services. The following policies are designed to provide a clear understanding of scheduling, payment, communication, and expectations. Please review them carefully before beginning services.
Payment Policy
Self-Pay Practice
For psychotherapy services, I can provide a superbill upon request that you may submit to your insurance company for possible out-of-network reimbursement. Reimbursement is not guaranteed and depends on your individual insurance plan. Executive Function Coaching is not billed to insurance, and superbills are not provided for coaching services.
My practice is private pay, and clients are responsible for payment according to the scheduling and payment terms described below. I do not bill insurance directly.
Advance Payment
To reserve your appointment, an advance payment equal to 50% of the session fee is required at the time of scheduling unless you are enrolled in a Monthly Care Plan or Executive Function Coaching Monthly Plan, which are billed according to their separate agreements.
The remaining balance will be charged on the day of your appointment using the payment method on file unless another payment arrangement has been made in advance.
Payment Methods
Payment is accepted through the practice’s secure scheduling, payment, or client-portal system using a major credit or debit card. A valid payment method must remain on file while receiving services or participating in a monthly plan.
Cancellation & No-Show Policy
Appointments are reserved exclusively for you.
If you need to cancel or reschedule, please provide at least 48 hours' notice.
Appointments canceled with at least 48 hours' notice may have the advance payment applied to one rescheduled appointment if the new appointment is scheduled within seven (7) calendar days of the original appointment.
Advance payments are non-refundable.
Appointments canceled with less than 48 hours' notice, or missed without notice, will result in forfeiture of the advance payment, which will be applied as the agreed-upon late cancellation or no-show fee.
Repeated missed appointments, excessive late cancellations, or repeated rescheduling may result in the inability to schedule future appointments or termination of services.
For clients enrolled in a Monthly Care Plan or Executive Function Coaching Monthly Plan, late cancellations and missed appointments are handled according to the applicable plan agreement and generally count as used sessions.
Monthly Care Plans
Monthly Care Plans are available for clients who prefer consistent appointments and predictable monthly billing.
The Monthly Care Plan fee is $700 per billing cycle and is automatically charged using the payment method on file. The plan renews automatically until canceled in accordance with the Monthly Care Plan Agreement.
Initial Therapy Plan
Your first month includes:
One comprehensive diagnostic intake (60–90 minutes)
Three psychotherapy sessions
Ongoing Therapy Plan
Each monthly billing cycle includes:
Up to four psychotherapy sessions
Limited treatment-related messaging
Priority scheduling when available
Monthly Care Plans include up to four sessions per billing cycle regardless of whether the calendar month contains four or five weeks.
Additional sessions may be scheduled at the current private-pay rate when clinically appropriate and scheduling permits.
Session Expiration
Sessions are valid only during the monthly billing cycle in which they are purchased.
Unused sessions expire at the end of the billing cycle and are not refunded.
At the therapist's sole discretion, one unused session may be rolled into the immediately following billing cycle when:
Advance notice is provided whenever reasonably possible; and
An unexpected circumstance outside the client's reasonable control prevents attendance.
Examples may include illness, hospitalization, family emergency, or severe weather.
Work conflicts, vacations, childcare arrangements, scheduling conflicts, forgetting appointments, or other foreseeable events generally do not qualify.
Approved rollover sessions must be used during the following billing cycle and expire if unused.
Between-Session Messaging
Monthly Care Plans include limited treatment-related messaging intended to support your work between sessions.
Appropriate uses include:
Brief questions about skills discussed in therapy
Clarification regarding homework
Sharing progress or updates
Scheduling questions
Messaging is not intended to replace psychotherapy sessions, provide ongoing counseling by text, provide crisis intervention, or offer unlimited access to the therapist.
Messages are generally reviewed during normal business hours. While every effort is made to respond promptly, responses are typically provided within one to two business days and cannot be guaranteed.
Monthly Care Plan Cancellation
Monthly Care Plans renew automatically each billing cycle unless the client submits a cancellation request by email or through the secure client portal before the next billing date.
Cancellation prevents future renewals but does not result in a refund for the current billing cycle. Any remaining sessions may be used before the current billing cycle ends, subject to the Session Expiration policy.
Monthly Care Plans are generally not intended to be paused. If an extended interruption in treatment is anticipated, cancellation and reenrollment may be discussed.
Monthly Care Plans are optional. Clients may instead choose to schedule individual appointments at the current private-pay rates.
Executive Function Coaching
Executive Function Coaching is a separate service from psychotherapy. It is a collaborative, goal-oriented service focused on developing practical strategies, skills, and accountability for everyday functioning.
Coaching may focus on:
Organization
Time management
Planning and prioritization
Task initiation
Routine development
Working memory supports
Accountability
Follow-through
Managing overwhelm
Executive Function Coaching does not diagnose or treat mental health conditions and is not a substitute for psychotherapy, medical care, crisis intervention, or emergency services.
Executive Function Coaching may benefit individuals experiencing executive functioning challenges related to ADHD, autism, traumatic brain injury, anxiety, depression, chronic stress, or other circumstances. Coaching is individualized and is not limited to a specific diagnosis.
If concerns arise that would be more appropriately addressed through psychotherapy, medical care, or another level of support, recommendations or referrals may be discussed.
Crisis Services
This practice does not provide emergency or 24-hour crisis services.
If you are experiencing a mental health emergency, are concerned about your safety or the safety of another person, call 911, go to your nearest emergency department, or contact the 988 Suicide & Crisis Lifeline by calling or texting 988.
Do not rely on email or text messaging for urgent or emergency situations.
Family Empowerment Scholarship for Unique Abilities (FES-UA)
Families using the Family Empowerment Scholarship for Unique Abilities must also review and follow the separate scholarship billing instructions.
Sliding Scale
A limited number of reduced-fee appointments are reserved for clients with demonstrated financial need.
Sliding scale appointments are subject to availability and are not guaranteed.
Please contact me before scheduling if you would like to discuss whether a reduced-fee appointment may be available.
Good Faith Estimate
Clients who are uninsured or choose not to use insurance are entitled to receive a Good Faith Estimate of the expected charges for scheduled healthcare services, as required by applicable federal law.
Returned or Declined Payments
Clients are responsible for any fees associated with declined or returned payments.
Outstanding balances must be resolved before additional appointments can be scheduled.
Telehealth Services
Telehealth psychotherapy services are governed by the separate Telehealth Consent and Informed Consent documents completed before treatment begins.
Agreement
By scheduling services, completing required documents, or participating in therapy or coaching, you acknowledge that you have read, understood, and agree to these Practice Policies.
These policies may be updated periodically, and the most current version will be made available through the practice website or client portal.
